Document / HR Coordinator(Short term-Part time)
Job Summary:
We are seeking a detail-oriented Document/HR Coordinator to support management during a turnaround/project period. This role will assist with employee onboarding, document control, labor tracking, and coordination with contractors and internal teams to ensure accurate reporting and compliance with client requirements.
Key Responsibilities:
- Assist management with employee onboarding setup, including document collection, document management, training assignments, and coordination of occupational testing as per pre-access job requirements.
- Maintain and organize employee and contractor documentation to ensure compliance with company and client standards.
- Receive and review timecards, update entries in LEMS (Labour Equipment Management System) as per client requirements, and submit records to management.
- Track and monitor contractor manpower and equipment usage.
- Ensure labor hours and equipment charges are accurately coded to appropriate work orders or cost centers.
- Coordinate with contractor supervisors and planners to verify labor entries and resolve discrepancies.
- Assist with data entry, record cleanup, and reconciliation at the end of the turnaround/project period.
- Work closely with payroll, project controls, and contractor management to resolve reporting discrepancies.
- Maintain confidential and accurate records for auditing and cost verification purposes.
- Provide general administrative support and perform other duties as assigned by management.
Qualifications & Skills:
- Previous experience in HR coordination, document control, or administrative support preferred.
- Experience with timecard management, workforce tracking, or payroll coordination is an asset.
- Strong organizational and document management skills.
- High level of attention to detail and accuracy.
- Proficiency in Microsoft Excel, Word, and data entry systems.
- Ability to handle confidential information with discretion.
- Strong communication and coordination skills to work with contractors, supervisors, and internal teams.
- Ability to manage multiple tasks in a fast-paced project environment.
Work Schedule:
- Short-term, part-time position during the project/turnaround period.
- Hours may vary depending on project requirements.
