Bulk Petroleum Clerk (Part-Time)
For our Bulk Petroleum Department located in Brandon, MB
The Bulk Petroleum Clerk is responsible for providing exceptional customer service and administrative support while maintaining efficient petroleum operations and adhering to all company policies, procedures, and safety standards. This position supports the Bulk Petroleum Department through customer service, fuel order dispatching, invoicing, inventory reconciliation, documentation management, and general administrative functions that contribute to a positive customer experience and operational excellence.
Key Responsibilities:
- Provide exceptional customer service by responding to customer inquiries in person, by phone, and by email; assist customers with fuel order requests, delivery information, account inquiries, and petroleum product information while delivering a World Class Customer Experience.
- Receive, enter, schedule, and dispatch bulk fuel orders accurately and efficiently; coordinate delivery information with drivers, customers, and internal team members to ensure timely service.
- Prepare and process customer invoices and payments through applicable systems; review delivery and transaction records for accuracy and investigate billing discrepancies as required.
- Maintain accurate customer account records, process administrative documentation, and support petroleum sales reporting and record-keeping requirements.
- Reconcile fuel inventory, delivery tickets, supplier invoices, fuel receipts, and related documentation; identify discrepancies and communicate concerns to management.
- Assist with period-end balancing, inventory reporting, and operational documentation to support department accuracy and efficiency.
- Complete filing, data entry, reporting, and general office administration duties while maintaining confidentiality of customer and business information.
- Work collaboratively with petroleum operations, accounting, drivers, and other team members while maintaining a safe and productive work environment.
- Follow company safety procedures, policies, and regulations and perform other duties as assigned by the Bulk Petroleum Manager.
- Operating forklift and general housekeeping duties.
Education and Experience:
- Completion of Grade 12 or equivalent is required.
- Post-secondary education or training in Office Administration, Business Administration, Accounting, Petroleum, Agriculture, Logistics, or a related field is considered an asset.
- One to three years of related experience in customer service, office administration, invoicing, dispatch, inventory reconciliation, petroleum, agriculture, logistics, or retail operations is preferred.
- Strong computer skills, including Microsoft Office applications, data entry, and the ability to learn petroleum, inventory, accounting, dispatch, and point-of-sale systems.
- Experience working with customer accounts, invoicing, dispatching, or inventory control is considered an asset.
- TDG and WHMIS certification, or the willingness to obtain required training.
- Ability to work independently and collaboratively within a team environment.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Effective verbal and written communication skills with a strong customer service focus.
- Commitment to ongoing learning and development within the petroleum and retail industry.
- Office and petroleum operations environment requiring prolonged periods of computer and telephone work, attention to detail, and administrative accuracy.
- May experience seasonal workload fluctuations, high call volumes, competing priorities, and time-sensitive customer requests.
- Occasional exposure to petroleum operations areas, outdoor conditions, fuel odours, and operational hazards while accessing petroleum facilities.
