The Brandon Festival of the Arts is looking for an Executive Assistant to start June 1, 2026.
Reporting to the President and Executive, this position is casual/part-time most of the year, with increased hours leading up to the Festival and full-time hours required for the duration of the Festival in February-March 2027.
General Description:
The Executive Assistant is responsible for the general day-to-day operations of the Brandon Festival of the Arts, Inc. Providing administrative support to the President & other members of the Executive, the position requires managing communications and maintaining records for the organization.
Primary Essential Functions-but not limited to:
-In collaboration with the President, preparing and distributing board meeting agendas and maintaining accurate minutes for all meetings.
-Develop annual timeline for management of day-to-day operation of the BFA and planning for the upcoming Festival.
-Manage day-to-day communications (usually through email) with Instructors, Parents, Entrants, other Festival Organizations, General Public
-Liase with our Computer Programmer to develop website and entry database to ensure information is current
-Manage online syllabus and entry process, development of the official program; liase with volunteers, schedule classes for upcoming Festival
-Develop support documents for the annual Festival (e.g. Adjudicator marking sheets, awards documents and certificates)
Required Knowledge, Skills and Abilities:
-Knowledge of general office principles and procedures, especially as related to development of agendas and recording of minutes, prepare reports and maintain records in proper format and a timely fashion
-Extremely detail-orientated
-Proven ability to effectively prioritize work flow
-Ability to exercise good judgement, show initiative, be proactive
-Strong information technology skills related to Microsoft Office, Google Workspace as well as other programs
-Ability to complete tasks and projects quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround
Preferred Education and Experience
-2 years in a previous senior administrative position
-Strong interpersonal and communication skills
-Valid drivers licence and access to own transportation to allow for pickups and deliveries on short notice

-In person board meetings and the annual general meeting attendance is mandatory
